How It Works

From Case Intake to PERM Filing — In Six Concrete Steps.

One shared portal. Every recruitment ad placed, every proof captured at the source, every deadline tracked, and an audit-ready PERM Final Report assembled automatically at cycle end.

1

Create the Case

The attorney or agency enters the beneficiary, employer, job details, and recruitment scope.

A new PERM case is opened in the portal. You enter the beneficiary, the sponsoring employer, the job title and SOC code, the worksite address, and the set of recruitment channels the case requires. If the employer needs a compliant career page, PermAd360 publishes a dedicated job-posting site within 24 hours so the website-posting step can begin immediately. Every party (attorney, employer, agency) sees the same case status from day one.

2

Draft & Review the JD

AI optimizes the job description for each channel; the attorney reviews and approves.

The attorney provides the source job description. The PermAd360 AI abbreviation engine — tuned to your firm’s house style and term dictionary — produces a compressed version for each cost-sensitive channel (Sunday newspaper, ethnic press, radio). A side-by-side view shows the original vs. the abbreviated copy with the projected per-channel savings. The attorney reviews, edits, and approves before any ad runs. A compliance risk score is generated before placement.

3

Quote & Approve Spend

Itemized estimate by channel; client approves the budget online.

PermAd360 produces an itemized quote per channel — SWA, Sunday newspaper, online job boards, radio, and any additional recruitment steps the case requires. Vendor cost and client billing are tracked separately so margin is transparent internally and the client sees a clean, channel-by-channel total. The employer reviews and approves the budget directly in the portal. Approved quotes auto-convert into a draft invoice.

4

Publish & Collect Proofs

Ads run across every channel; tear sheets, screenshots, and affidavits are captured at the source.

PermAd360 coordinates placement across every channel selected. As each ad runs, the proof artifact lands directly on the case — tear sheets from Sunday newspapers, server-stamped Day-1, Day-15, and Day-30 screenshots from online job boards and the employer’s website, signed station affidavits from radio, and SWA platform confirmation PDFs from each state. The 30-day SWA window, the 10-business-day Notice of Filing, and the cross-channel proof schedule are tracked automatically.

5

Track Applicants & Lawful Rejections

Every applicant logged; every rejection mapped to a DOL-recognized basis.

Every applicant who responds to the recruitment is logged with name, contact information, and source. Every contact attempt is documented with date and method. Interview outcomes are recorded. Rejections must be mapped to a DOL-recognized lawful rejection reason — the platform enforces this so the file is defensible on audit. Once finalized, applicant records lock and become part of the PERM Final Report.

6

Recruitment Review & PERM Final Report

Attorney-driven review gate. Auto-generated audit-ready PDF.

Before the case progresses to PERM filing, the recruitment review gate requires the attorney to sign off on the applicant log and the rejection bases. On completion, PermAd360 generates the PERM Final Report — a single PDF containing the applicant log with contact attempts and lawful rejection reasons, an advertising proof checklist per channel, the recruitment timeline, and the attorney-certified review summary. The compliance ZIP backup includes every dated artifact and a verification hash so the file is provably the file you assembled.
