1. Who we are
PermAd360 ("PermAd360," "we," "us," or "our") is an independent recruitment-advertising agency and SaaS platform with operations at 40 Brunswick Ave, Edison, NJ 08817, United States. We provide PERM Labor Certification recruitment advertising services and a related SaaS workflow platform to immigration law firms, ad agencies, and sponsoring employers in the United States.
2. What we collect
In the course of providing the service, we collect:
- Account information — name, email address, phone number, employer or law-firm affiliation, and role.
- Case information — beneficiary names, job titles, SOC codes, worksite addresses, wages, prevailing wage determinations, and PERM case identifiers needed to place and document recruitment advertising.
- Recruitment artifacts — tear sheets, screenshots, affidavits, SWA confirmations, applicant logs, and other proof documentation produced during the PERM recruitment cycle.
- Billing information — invoice line items, payment method (processed by our payment processor; we do not store full card numbers), and remittance details.
- Usage data — log files, IP address, browser type, pages visited, and actions taken within the portal, for security, fraud prevention, and product improvement.
3. How we use it
We use the information to:
- Place recruitment advertisements with newspapers, radio stations, ethnic press, online job boards, and other vendors on the case’s behalf.
- Track recruitment progress, deadlines, and the 180-day filing window.
- Assemble the audit-ready PERM proof package and PERM Final Report.
- Issue invoices and accept payment.
- Send transactional notifications (case-status updates, task alerts, invoice notices) to authorized portal users.
- Improve the platform, monitor for abuse, and meet our legal obligations.
We do not sell personal information. We do not use case data to train third-party AI models. AI features that operate on case data (such as JD abbreviation) run on per-firm dictionaries and do not feed external training datasets.
4. Who can see what
Access to a case is scoped by role:
- Attorneys — see their own firm’s cases.
- Employers — see only their own cases.
- Ad agency staff — see the cases assigned to them. Vendor-side cost details are visible to agency staff only; clients see client-side billing only.
- System administrators — full system access for support and audit purposes.
Some operational data is logged for security and audit: login timestamps, IP addresses, and user actions taken in the portal.
5. Sharing with vendors
To place ads, we share the specific information required by each vendor (publication, radio station, job board, or SWA portal) — typically the job title, worksite, and the advertisement copy. We do not share applicant personal information with vendors.
We also use sub-processors for hosting (Microsoft Azure / IIS), payment processing (Stripe), email delivery (Microsoft Graph), and certain AI features (Anthropic). Each sub-processor is bound by data-protection terms.
6. Retention
The Department of Labor requires recruitment file retention for at least five years from the date of PERM filing. We retain recruitment artifacts (tear sheets, screenshots, affidavits, applicant logs) for that period or longer if the customer requests. Account information is retained for the life of the account plus a reasonable wind-down period.
7. Your rights
If you are a portal user, you may:
- Review and update your account information from your profile page.
- Turn off non-essential email notifications from Settings → Notifications.
- Request a copy or deletion of your personal information by emailing privacy@permad360.com. We will respond within 30 days. Note that recruitment-file retention obligations may limit deletion until the DOL retention period elapses.
8. Security
The platform is hosted on Microsoft Azure / IIS with TLS for all traffic, HSTS, role-based access controls, and audit logging. Payment data is handled by a PCI-compliant processor and is not stored on PermAd360 servers.
9. Children
The service is not directed to children under 16 and we do not knowingly collect their personal information.
10. Changes
We may update this policy from time to time. When we do, we will revise the "Last updated" date at the top of this page and, for material changes, notify portal users via email or an in-app notice.
